PRIVACY NOTICE
Last updated: April 9, 2026
This store is operated by Wardeer Ltd, trading as OFF-RECORD. Throughout this Privacy Notice, “we”, “us” and “our” mean Wardeer Ltd trading as OFF-RECORD.
We respect your privacy and are committed to being clear about how we collect, use and protect your personal information when you visit our website, place an order, contact us, or otherwise interact with us.
Our store is hosted on Shopify, which enables us to sell our products and services to you. Shopify may process personal information to provide and improve the store experience and related services. You can learn more about how Shopify handles personal information in Shopify’s own privacy materials. Shopify’s help guidance also says merchants should review and verify the default privacy content so it accurately reflects their business operations and any third-party services used in the store.
1. WHO WE ARE
OFF-RECORD is a trading name of Wardeer Ltd
For the purposes of applicable data protection law, Wardeer Ltd is the controller of your personal information.
2. THE PERSONAL INFORMATION WE COLLECT
We may collect personal information, including your name, billing address, delivery address, email address, phone number, order details, payment-related information, communications you send to us, and technical information relating to your device, browser, IP address and use of the website.
We may also collect information about how you interact with our store, such as pages viewed, products browsed, items added to basket, and purchases or returns made.
If you contact us, we may keep a record of that correspondence and any information you provide in connection with your enquiry.
3. HOW WE COLLECT YOUR INFORMATION
We may collect personal information directly from you when you place an order, fill in a form, contact us, subscribe to marketing, or otherwise interact with the site.
We may collect information automatically through cookies and similar technologies when you use the website.
We may also receive information from service providers and partners that help us operate the store, process payments, fulfil orders, deliver parcels, run analytics, prevent fraud or send emails. Shopify’s customer privacy guidance specifically notes that privacy policies should reflect the third-party services integrated with the store.
4. HOW WE USE YOUR PERSONAL INFORMATION
We use your personal information to process and deliver your orders, take payment, send order confirmations and delivery updates, provide customer support, manage returns and refunds, and maintain records relating to your transactions.
We may also use your information to improve the performance, usability and security of the website, prevent fraud, investigate misuse, comply with legal and accounting obligations, and communicate with you about your order or your enquiries.
Where you have agreed to receive marketing, we may use your email address to send you updates about products, releases, journal content and brand news. You can unsubscribe at any time using the unsubscribe link in any marketing email or by contacting us.
5. OUR LAWFUL BASES
Depending on the context, we rely on one or more of the following lawful bases:
We process your information where necessary to perform a contract with you, for example, to accept payment, fulfil your order and arrange delivery.
We process certain information where necessary to comply with legal obligations, such as accounting, tax, fraud prevention and consumer law requirements.
We may process information where it is in our legitimate interests to run, protect and improve our business, provided those interests are not overridden by your rights and interests.
Where required, we rely on your consent, for example, for marketing emails and certain non-essential cookies or similar technologies. The ICO says privacy information should explain the lawful basis relied on and should tell individuals if consent can be withdrawn.
6. WHO WE SHARE YOUR INFORMATION WITH
We may share your personal information with trusted third parties where necessary to operate our business and provide our services to you. This may include Shopify, payment processors, fulfilment partners, shipping and logistics providers, analytics providers, email service providers, fraud-prevention tools and professional advisers.
We only share the information needed for those providers to perform their services for us.
If required by law, or where necessary to protect our rights, customers or business, we may also disclose information to regulators, law enforcement, courts, insurers or legal advisers.
7. SHOPIFY
Our store is powered by Shopify. Shopify may process personal information submitted through the store in order to host the website, operate checkout, support store functionality, and provide related services. Shopify’s Help Centre explains that automated privacy content can include disclosures linked to store settings and certain Shopify features, but that merchants remain responsible for making sure the privacy policy is accurate for their business.
If your store uses Shopify privacy features, cookie settings, or data-sharing controls, those settings should match the wording of this notice and the way your store actually operates. Shopify also provides its own consumer privacy policy and privacy portal for certain rights requests relating to Shopify’s own processing.
8. INTERNATIONAL TRANSFERS
Some of the service providers we use may process personal information outside the UK. Where that happens, we take steps intended to ensure your information is protected with appropriate safeguards in line with applicable data protection law.
Shopify also states that information submitted through the store may be shared with Shopify and third parties in countries other than where the customer resides in order to provide and improve the services.
9. HOW LONG WE KEEP YOUR INFORMATION
We keep personal information only for as long as reasonably necessary for the purposes set out in this notice, including to fulfil orders, manage customer service issues, comply with tax and accounting obligations, resolve disputes and enforce our legal rights.
Where we do not have a fixed retention period, we determine how long to keep information by considering the type of information, the purpose for which it was collected, legal requirements, and whether we need it to resolve complaints or protect our business. The ICO says that individuals should be told either the retention period or the criteria used to determine it.
10. YOUR RIGHTS
Depending on your location and the law that applies, you may have rights to access the personal information we hold about you, ask us to correct inaccurate information, request deletion, object to certain processing, request restriction of processing, and request portability in certain circumstances.
Where we rely on consent, you may withdraw that consent at any time. This will not affect the lawfulness of processing carried out before withdrawal.
You can exercise your rights by contacting us. We may need to verify your identity before responding.
If Shopify is responsible for particular processing carried out for its own purposes, Shopify may handle certain rights requests directly through its own privacy tools and portal.
11. COOKIES AND SIMILAR TECHNOLOGIES
We use cookies and similar technologies to help operate the website, remember preferences, understand site usage and, where permitted, support analytics and marketing.
If cookie consent is required in the regions where you sell, our store can display a cookie banner and related privacy controls. Our store’s guidance notes that merchants should ensure cookie disclosures and consent tools reflect the technologies actually used on the store, including third-party tools where applicable.
For more information, please see our Cookie Notice.
12. THIRD-PARTY LINKS
Our website may contain links to third-party websites or services. If you follow those links, their privacy practices will apply and we are not responsible for their content, security or privacy handling.
13. CHILDREN
Our website and services are not intended for children, and we do not knowingly collect personal information from children.
14. COMPLAINTS
If you have any questions or complaints about how we handle your personal information, please contact us first.
If you are in the UK, you also have the right to complain to the Information Commissioner’s Office. The ICO’s guidance says the privacy notice should explain the right to lodge a complaint with a supervisory authority.
15. CHANGES TO THIS NOTICE
We may update this Privacy Notice from time to time to reflect operational, legal or regulatory changes. The latest version will always appear on this page with the updated date shown above.
